Overview of the Application Process

Application Deadlines

You can apply for ProCareer.MINT and ProCareer.Doc every year. Applications for ProAcademia and ProProfessur are possible every two years.

  • ProCareer.MINT & ProCareer.Doc: annually from October 1 to December 1 (deadline: December 1, 11:59 p.m.).
  • ProAcademia: every two years from October 1 to December 1 (deadline: December 1, 11:59 p.m.).
  • ProProfessur: every two years from October 1 to December 15 (profile must be created by December 15, 11:59 p.m.; additional documents must be submitted by January 15 of the following year)

ℹ️ You may complete your application profile at any time up until the respective deadline. We kindly recommend allowing enough time to complete and submit your application.

Information Events

We recommend attending one of the digital information events, which are offered every November for the mentoring programmes. There you will receive detailed information about the programmes, and former mentees will share their experiences. The information event for ProAcademia is held in English. Dates and registration are available on our website during the application period.

Application Procedure

Step 1: Application / Creating an Online Profile

To apply, please create a profile in our online database. Register with your first and last name and email address. Please confirm your registration by clicking the verification link that has been sent to your registered email address[RC1] . Afterwards, your applicant profile will open, which you can complete. We recommend saving your entries regularly to prevent data loss. Please make sure to fill in all required information and submit your application using the designated button. Only then is your application final. Once we have checked your application for completeness, you will receive an official confirmation email with information about the next steps and about our network.

Upload of Additional Documents for ProAcademia & ProProfessur

For applications to ProAcademia and ProProfessur, uploading additional documents is required (see below). These must be uploaded by December 1 (ProAcademia) or by January 15 (ProProfessur).

ℹ️These documents are not required for ProCareer.MINT and ProCareer.Doc!

The documents must be uploaded in PDF format. You may either upload them as individual files or as one single file (no larger than 5 MB).

Uploads for ProAcademia:

  1. Motivation letter of max. 750 words (as a form field in the online application)
  2. Either one combined file with all documents (PDF upload, max. 5 MB) or separate files:
  • Academic CV (PDF upload, max. 1 MB)
  • Doctoral certificate [if available] (PDF upload, max. 2 MB)
  • List of publications [if available] (PDF upload, max. 1 MB)
  • List of third-party funding obtained [if available] (PDF upload, max. 1 MB)

Uploads for ProProfessur:

  1. Motivation letter of max. 750 words (as a form field in the online application)

Step 2: The Selection Interview

After the application deadline, all submitted applications are reviewed and, depending on the number of applicants, we make a preselection. You may then be invited to a digital selection interview. However, due to the limited number of places, not all applications can be considered. Until the programmes begin in June, there is still a chance of being accepted from the waiting list.

The digital selection interviews last about 30 to 45 minutes and typically cover topics such as your motivation for applying, your academic and professional background (studies, career, current situation), and your expectations of a potential mentor. The interviews take place each year between December and February.

ℹ️Regardless of whether you are invited to an interview, admitted to a mentoring programme, or not, all applicants automatically become members of the network and can participate in our networking and training events. We will keep you updated about our events and offers by email. You are also welcome to reapply for the mentoring programmes the following year if the timing suits you.

Step 3: The Matching Phase

From March until the start of the mentoring programmes (usually in June), the matching process takes place. This means suitable mentors are identified and mentoring tandems (mentee × mentor) are formed.

Step 4: The Programme Begins!

With the admission notification, you will receive further information about your mentor and the programme structure. The exact timing may vary depending on the programme but will be communicated at least six weeks before it begins.

Tips for the Online Application

Our Online Database

You can find our online application database here.

There you can create your personal profile and manage your application details. This platform also serves  you and us later for data management. Please make sure to keep your information up to date, even beyond the application process. You can edit your data at any time, and you may also delete your profile if necessary. Passwords can be changed independently or reset via the “Forgot password” function. If you experience any problems with your profile, our office will be happy to assist you.

ℹ️IMPORTANT: Whenever possible, please use a university or business email address for your application.

For private addresses, we recommend avoiding Gmail, as emails from the database are often not delivered there. If you have not received any messages from us for a while, it is worth checking your spam folder. For further questions, the office will be glad to support you.

What We’d Like to Know About You: Our Application Form

Our application forms differ depending on the mentoring programme. There are mandatory fields (marked with an asterisk *) as well as optional ones.

In general, we would like to know the following from you:

  • Personal details (you can optionally upload a photo)
  • What (special) skills or experiences do you bring with you? Is there anything important we should know?
  • Why would you like to participate in the mentoring programme? What would be important to you in a mentor?
  • For ProAcademia and ProProfessur, you should already suggest specific preferred mentors. In addition, we ask you to upload the required additional documents (see above) and to provide a concise motivation letter.
