Handling of personal data

Personal data is information that can be used to identify a natural person, i.e. information that can be used to identify individuals. This includes names, e-mail addresses and phone numbers in particular, but also includes data related to preferences, hobbies and memberships.

Within the joint project Mentoring Hessen, personal data is only collected, used and passed on if permitted by law or if the user has consented to data collection. The Hessen Higher Education Act in conjunction with state enrolment regulations serve as the legal basis for collection.

Personal data is used exclusively for the purpose of providing high-quality career advancement offers to students, doctoral candidates, postdocs and scientists who have applied to Mentoring Hessen for this purpose and have thus registered using their personal data. The basis for this is the cooperation agreement of the universities of Hessen in conjunction with the cooperation agreements of participating companies and non-university research institutions.

Through mentoring, training and networking, participants are encouraged in their personal, professional and academic development. Personal data is therefore collected for the application, registration, selection and matching process of the mentors and mentees (specifically name, address, date of birth, contact and communication data such as telephone number, e-mail address, information on studies, professional and academic qualifications and degrees, family situation and motivation for participating in mentoring). It is also collected for event management, as proof of participation, for member and alumni information for sustainability, networking and exchange within the Mentoring Hessen association (which includes members of Mentoring Hessen, contact persons at universities and contact persons at companies and other non-university research institutions). E-mail distribution lists are also used for alumni management.

This personal data is stored electronically in compliance with legal provisions on data protection in accordance with Article 3 of the EU GDPR – lawfulness of processing – and is used and processed exclusively within the Mentoring Hessen joint project.

All applications of and changes to personal data and e-mail communication are temporarily stored in the database for the purpose of member administration.

Any transfer of personal data to third parties (trainers) is only permitted for the implementation of events within the framework of Mentoring Hessen.

If you contact the Mentoring Hessen office by e-mail, the information you provide may be stored for the purpose of processing your request and for possible follow-up questions.

Your data will be stored for as long as you are a member of Mentoring Hessen. Data from surveys on the location and status of alumni will be archived with their consent in order to provide examples of possible career paths and positions once your membership ends.

You have the right to receive information regarding your personal data stored by us at any time. You also have the right to have your data rectified or deleted.
The deletion of data can also be requested, providing there is no legal obligation to archive. If such an obligation does exist, we will lock your data upon request. Access data/ Server log files

When the Mentoring Hessen website is accessed, the following data is generally stored in the server log files:

  • IP addresses
  • Date and time
  • Client browser type
  • URLs of the requested site
  • Error messages, if applicable
  • Requesting provider, if applicable

This data is used solely for the purpose of verifying functionality, security and troubleshooting. Grounds for its use are based on the EU GDPR, Article 6, Paragraph 1f). All log files are automatically deleted or made anonymous after a maximum of seven days.
